Users

Users management is only enabled for administrator users.

In MoonDesk, managing your workspace's users, their restrictions and permissions is essential in order to keep an efficient and safe work flow. You can manage these settings through the Users section within your workspace's settings.

Accessing Users Management

  1. Accessing Users settings:

  • From the main menu, go to Settings.

  • Select Workspace, and then Users.

Users settings information and options

In this section, you will find information and different settings options for each registered user, such as:

  • User: user's name and last name.

  • E-mail: the user's e-mail address.

  • Role: it determines the user's level of access and permissions (regular or administrator user).

  • Registration status: it states if the user is enabled, or pending creation.

  • Access to documents: configures the documents that the user is able to see and edit according to their type, sorting and status.

  • User permissions: details the functions that the user can perform.

  • User status: it states if the user is enabled or disabled for logging in.

Adding/inviting a new user

Sending an invitation:

  • Click on the Send invitation button

  • Input the person you wish to invite's e-mail address.

  • Click on Send invitation.

The person will receive a confirmation e-mail for creating his/her username and password.

User role

  1. Regular user:

  • Creating, editing and archiving own tasks.

  • Creating and modifying documents with the Adobe Illustrator plugin.

  • Reviewing documents (commenting and requesting changes).

  • Downloading and sharing documents through links.

  • Carrying out comparisons through Image Compare.

  • Accessing reports.

  • Accessing the online support chat (subject to time zone availability).

  1. Administrator user:

  • All the previously stated functions, plus:

    • Editing other users' tasks.

    • Accessing the workspace settings (inviting users, managing permissions and restrictions, creating reviewers groups, etc).

Registration status

  • Enabled: the user is activated, and can access the platform.

  • Creation pending: the user has not yet completed the registration process.

Access to documents

You can limit the creation and visualization of documents according to their type, sorting and status. This allows, for example, for certain users to only be able to see approved documents, and not drafts, or for them to only have access to documents that have been sorted a certain way.

User permissions

User permissions can include:

  • Creating new sorting values.

  • Managing rules.

  • Approving/deleting documents.

  • Uploading new documents.

User status

It indicates if the user enabled or disabled for logging in and operating from the web app or the Adobe Illustrator plugin.

  • In order to enable or disable a user:

    • Click on the blue switch next to the user's name.
