Editing a document

Editing a document can only be done from Adobe Illustrator plugin. To start editing a document stored in the MoonDesk cloud, you must first access the Adobe Illustrator plugin:

Steps for editing a document

  1. Looking up for the document:

    • Open the MoonDesk plugin within Adobe Illustrator.

    • Go to the "Search" tab, and look for the document you wish to edit.

  2. Starting the edition:

    • Click on the pencil icon (✏️) located at the right of the document's name. This will open the document in the "Edit" tab.

  3. Editing in Adobe Illustrator:

    • Make the necessary modifications in Adobe Illustrator.

  4. Save the new version:

    • Click on "Save new version" to finish editing. The new version will be uploaded to the cloud, and the document will remain in "draft" status.

A. Edit sorting:

  • Click on the ✏️ icon to edit the document type and its sorting.

B. Document sorting:

  • Sorting values are a part of the document's name upon downloading it, and simplify searching for it in the Adobe Illustrator plugin.

C. Document version number:

  • States the version number of the document being visualized, and the total number of its previous versions.

D. Document status:

  • States if the document is in "draft" or "approved" status.

E. Check rules:

  • Allows to check the applicable rules without the need for saving a new version.

F. Fields:

  • Identifies specific elements within a document (e.g.: microcodes, barcodes, etc). These elements are defined during the company settings configuration.

G. Find and Replace:

  • Tool for looking for specific words or phrases within the file, and replacing them automatically.

H. Related tasks:

  • States if the document is associated to any pending task.

I. Documents:

  • List of documents to be edited. When saving a new version, the next document will be opened automatically.

J. Save new version:

  • Saves a new version of the edited document, verifies the rules and offers options for sharing the file in different formats.

1- Selecting save mode:

  • Working Copy: saves a version that will only be visible for the designer.

  • Save for Review: saves the document and sends it for reviewing (default option).

  • Approve when Saving Version: approves the document and marks the task as completed (only available for designers who are owners of all the related tasks).

2- Selecting other formats:

  • When saving a new version, you can choose additional formats for downloading or sharing.

  • Creating copies in local download folder.

  • You can download the document in your computer's downloads folder.

Documents mass editing from the Adobe Illustrator plugin

  1. Searching for documents:

    • Looks for the documents to be edited in the "Search" tab, and select them by marking the corresponding box.

  2. Making changes:

    • Make the necessary changes, such as using the "Find and replace" tool.

  3. Saving new version:

    • Click on "Save new version" to save changes. The first file will be closed, and the next one will be opened automatically.

Restoring versions

If we wish to restore a previous version to the last edited one, we can recover it, by accessing the versions list in the document visualizer.

  1. Searching for the document:

    • Look for the document in the "Search" tab.

  2. Visualizing previous versions:

    • Click on the document's image to open the visualization with the list of previous versions.

  3. Recovering previous version:

    • Click on the ✏️ icon next to the version that you wish to recover. This will open up that specific version of the selected file.

  4. Saving new version:

    • Click on "Save new version" to save the recovered version as the document's newest version.

To see the versions in the Adobe Illustrator plugin, search for your file, visualize the document, and you will be able to see the different available versions under the document's image.
